Administrative Assistant (Administrative and Office Specialist II)

The Administrative Assistant for the Provost and Dean is a critical role that sets the tone for the administrative office. The Administrative Assistant will provide exceptional service to both internal and external constituents by assisting them in answering questions or helping them find answers. A requirement of this position is to be in the office for the majority of the time spent on the job to ensure any walk-ins are assisted and phones are answered in a timely manner. It is also critical that the administrative assistant be professional and courteous at all times. Below are a list of the specific duties to be completed:

  • Answer phones for the Provost, Dean, and Coordinator of Student Services.
  • Mange walk-ins.
  • Manage Provost and Dean s outlook calendars.
  • Schedule meetings, observations, and evaluations.
  • Take meeting minutes for meetings initiated by Dean or Coordinator of Student Services.
  • Assist with planning and executing events hosted by the Provost, Dean, or Coordinator of Student Services. This includes creating work orders with room set ups and IT needs.
  • Ensure office is organized and tidy and all supplies are restocked appropriately.
  • Work directly with IT and B&G as necessary when faculty, staff, or students need assistance or when a need needs to be taken care of in a timely manner.
  • Alert the provost and dean immediately when they are off campus of any urgent or emergency matters.
  • Process student services paperwork for dean s signature and return to student services.
  • Assist with admissions processing paperwork.
  • Maintain the strictest confidentiality.
  • Regular attendance is a requirement of this job.
  • Provide coverage at the Vint Hill Site as needed.


Don't Be Fooled

The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
